Learn how to change statuses, add statuses and remove statuses for POs

Every purchase order has a status that indicates what state of the purchasing process it's in.

Receiving inventory against a purchase order automatically changes the status from "Open" to "Closed" or "Partially received". However, you can also manually set the status for more granular tracking of your purchase orders.

Changing the purchase order status

To change the purchase order status, navigate to the purchase order through Stock Orders.

Once you're in the purchase order, click "Settings" on the top right-hand side of the page, and select the status you want to set for your purchase order.

Finally, click "Save" in the lower-left corner.

Approving draft purchase orders

If the purchase order is in a draft state, you’ll find an option to approve a purchase order to update its status from "DRAFT" to "OPEN" in the purchase order detail screen.

You can also approve purchase orders in bulk by selecting them in the Stock Orders list, then clicking “Bulk Actions” and “Approve Draft”.

Adding new purchase order statuses

You can add new purchase order statuses by clicking into a purchase order, then clicking "Settings".

In the status field, simply type the name of the new status, and click the option to create it.

Once you save your changes to the purchase order, the new status will be created.

Removing purchase order statuses

If you want to remove purchase order statuses you no longer use, navigate to Settings > Purchase orders > PO statuses. There, you'll see a list of your purchase order statuses, a count of how many purchase orders are using each status, and an option to delete any manually-created statuses.

Select the statuses you wish to remove using the checkboxes on the left-hand side of the page, then click Bulk actions > Remove.
